Purpose

The Operations Coordinator is responsible for a variety of tasks that ensure the smooth daily operations of our business, enhance organizational efficiency and support a culture of continuous improvement and customer/employee satisfaction.

These responsibilities encompass assisting with human resource allocation, operational logistics, organizing events, arranging and assisting with employee training, liaising with the team and different departments, carrying administrative duties, and assisting with project management.

Main Responsibilities

You will work closely with the Director of Operations and the retail team while supporting business growth, new initiatives, policy, culture, and the overall strategy of the network. The main responsibilities are:

• Provides administrative support and assistance with the management of daily operational activities to the Director of Operations;
• Write and send internal memos concerning operational procedures, marketing and HR communication;
• Assists with recruitment and on-boarding efforts including job posting process, scheduling interviews, reference checks, screenings, recruiting events, new hire process, new hire orientations and exit interview processes;
• Organize and support in the timely completion of multiple projects;
• Liaise between staff, management and various departments and management groups within the network;
• Administer employee training and development programs;
• Drive new initiatives that support employee engagement including wellness and gamification programs;
• Planning and organizing events, meetings and conferences;
• Respond to customer inquiries over the phone or by emails, while directing them accordingly and following-up as needed;
• Assist store leaders with customer issues/questions related to customer orders, IT service, etc.;
• Other administrative tasks as required.

Requirements

• High school diploma/GED required; Bachelor’s degree preferred;
• Significant experience as an operations coordinator or similar administrative support role preferred;
• Experience in customer facing retail services;
• Ability to multi task and thrive in a fast paced environment while not missing details;
• Excellent written and oral communication skills;
• Possess conflict resolution skills, incorporating the appropriate level of diplomacy and tact;
• Self-starter with a problem-solving and analytical skill set;
• Strong organizational and time management skills;
• Strong working knowledge of Microsoft Office including Excels and PowerPoint;
• Must have a drivers’ license and be able to travel to store locations;
• French language is an asset;
• Experience in the optical industry is an asset but not required;
• Human Resources’ experience is an asset but not required;
